Who can ask
You can ask for deletion if you have a Chattoo account, that is if you sign in to the Chattoo console, on the web or with the Android app, as the owner or as an operator of a client business.
If instead you wrote to or called a business that uses Chattoo, you do not have a Chattoo account: see «If you are a customer of a business» below.
How to ask for deletion
- Write to [email protected] from the email address you sign in to Chattoo with: that is how we know the request comes from you.
- Use «Delete account» as the subject and give the name of the business you work for.
- If you are the owner, say whether you want to delete only your own account or close the whole business, and whether you want a copy of the data first.
- We confirm that we received the request. If you write from another address, we ask you to confirm it from the account’s address.
- Within 30 days of the request we delete the data and confirm it to you by email.
In the Chattoo app this page is in your profile, under «Delete account».
What we delete of your account
When you delete your account, whether you are an operator or the owner, we delete:
- your access to Chattoo: the email and password sign-in and your permissions on every business;
- your profile: name, email, phone, language and time zone;
- your preferences and your profile picture;
- the devices registered to receive notifications.
If you use the same sign-in for other Riolabs services too, we tell you before deleting it.
The messages you wrote to the business’s customers, the notes and the work done in the console stay in the business’s records, which belong to the business: for that data, contact the business.
If you close the business
If you are the owner and ask to close the business, besides your account:
- if you ask, before deleting anything we send you a copy of the business’s data;
- we cancel the subscription and the paid services, phone numbers included;
- we delete the business’s data: customers and contacts, conversations and messages, appointments, orders, dossiers and documents, files, connected channels and the assistant’s set-up;
- we delete the accounts of the operators who work only for this business; the others lose access to this business.
What we keep, and for how long
Some data stays after the deletion, because the law requires us to keep it or because the security of the service needs it:
- Contract, billing and accounting data (invoices, payments, history of plans and billed usage): 10 years from termination or from the issue of the document (art. 2220 of the Italian Civil Code and tax rules).
- Security and technical logs: up to 12 months [TO BE DECIDED], unless needed to investigate abuse.
- Technical traces of the artificial intelligence engine: from 7 to 90 days; aggregated usage summaries up to 400 days.
- Backup copies: [TO BE DECIDED] how long deleted data stays in them.
- The correspondence about your request: [TO BE DECIDED].
When these periods end, the data is deleted or made anonymous, unless it must be kept to establish or defend a legal claim.
If you are a customer of a business
If you wrote to or called a business that uses Chattoo (on WhatsApp, Messenger, Instagram, Telegram, the website chat or by email), your data belongs to that business, which is its controller: requests to delete it go to the business.
If they reach us, we forward them to the business and help it answer.
Who processes the data
Chattoo is developed by Riolabs S.r.l., Via La Louviere 2, 06034 Foligno (PG), Italy, VAT and tax code 03660730544, the controller of the accounts’ data.
